How to request access

Request access to Google AI Pro for Education

Google AI Pro for Education is a paid service that requires approval from your department or unit. Pricing details can be found in the ServiceNow request form linked below.

Submit a Google AI Pro for Education license request through ServiceNow.
After your request is approved, visit the Google Workspace dashboard and sign in using your ASURITE email address.
Open a supported Google Workspace application, such as Google Docs, Sheets, Slides, or Gmail, and select the Gemini icon in the upper-right corner.
Start using Gemini by entering a prompt in the Gemini chat panel to begin using Google AI Pro for Education features.

Access period

Begins: Immediately after your ServiceNow request is approved.
Ends: When your license expires, is cancelled, or upon termination. Licenses renew automatically each year within the same department unless Enterprise Technology is notified of cancellation prior to the billing date. Department transfers will cancel auto-renewal.

Student access

Students are not eligible for self-service license requests. However, a faculty or staff member may request a department-sponsored license on a student's behalf.To request a Google AI Pro license for a student, submit a request through ServiceNow.

Current ASU faculty and staff are eligible to request access. Because licenses are funded by individual departments and units, all requests require approval from a supervisor or business operations manager.

Google AI Pro for Education integrates Gemini directly into your ASU Google Workspace apps (Docs, Sheets, Slides, and Gmail). It provides higher usage limits, priority access to advanced models, and features like Deep Research, Gems, Gemini Live, Canvas, and enhanced NotebookLM capabilities.

The standard version of Gemini provides baseline conversational AI and remains available to all ASU users at no additional cost.

If you don't see the Gemini icon after your request has been approved, sign out of your ASU Google account and sign back in. If the icon still doesn't appear, allow some time for your license to be provisioned or contact the ASU Experience Center for assistance.

Data privacy

Gemini for Google Workspace is only approved for Sensitive data governed by FERPA and public/internal/sensitive data not governed by any other regulations. This tool may NOT be used for other regulated sensitive data such as HIPAA PHI, payment card information governed by PCI-DSS, or Financial Aid/GLBA data. Gemini for Google Workspace will not use any data, prompts, or responses for any AI training.
