Overview

Gemini for Google Workspace is an AI-based tool that integrates with Google Workspace applications like Docs, Sheets, Slides and Gmail. It uses advanced AI to assist users by generating text, creating summaries and suggesting edits. It helps users work more efficiently by generating text, summarizing information, and offering contextual recommendations from within the user's workspace. Gemini Handbook


Who can use this product?

  • ASU faculty and staff, can use Gemini for Google Workspace.
  • This tool is not available to students.  
  • Access is paid for and set up through ASU units. Individuals cannot purchase licenses directly. Licenses require Supervisor/Business Operations Manager approval.

Getting Started

  1. How to request access:
    Faculty and staff can request a license via ServiceNow
  2. How to login:
    Once you have an account setup, go to https://workspace.google.com/dashboard in your browser, sign in using your ASURITE. Gemini will be available in your Google Workspace applications.
  3. How to use:
    Using natural language, ask Gemini to do something. 
    Example: Create a new Google Doc, click the Gemini star at the top right by your profile icon, click 'Create and outline', type or paste your prompt into the box - "Write an outline of an essay on the key factors that contributed to the Anthropocene epoch." Hit enter, and then click 'Insert' for the outline to be added to the document.

Gemini for Google Workspace interactions comply with strict privacy standards. Gemini for Google Workspace is safe for ASU data and is FERPA compliant. Gemini for Google Workspace will not use any data, prompts, or responses for any AI training.

  • Internet Requirement: Needs internet access to function optimally.
  • Lack of Reasoning and Context Awareness: AI tools currently struggle with complex reasoning and executing detailed plans, as they can misinterpret context and lack the ability to understand long-term dependencies.
