How to request access

Request access to Microsoft 365 Copilot

Microsoft 365 Copilot is a paid service that requires approval from your department or unit. Pricing details can be found in the ServiceNow request form linked below.

Submit a Microsoft 365 Copilot license request through ServiceNow.
After your request is approved, visit Microsoft 365 Copilot or open a supported Microsoft 365 application. Sign in with your ASURITE email address and complete DUO authentication if prompted.
Confirm you're using your ASU Microsoft account and that Copilot features are available. In Copilot Chat, verify that the green enterprise data protection shield appears in the upper-right corner.

Access period

Begins: After your Microsoft 365 Copilot license request has been approved.
Ends: When your license expires, is cancelled, or upon termination. Licenses renew automatically each year within the same department unless Enterprise Technology is notified of cancellation prior to the billing date. Department transfers will cancel auto-renewal.

Students are not eligible for self-service license requests. However, a faculty or staff member may request a department-sponsored license on a student's behalf.To request a Microsoft 365 Copilot license for a student, submit a request through ServiceNow.

No. Microsoft 365 Copilot requires a department-funded license. It is available to ASU faculty and staff by request with approval from a supervisor or business operations manager. Students can also gain access if sponsored and funded by an ASU department. Copilot Chat remains available to current ASU students, faculty, and staff.

Microsoft 365 Copilot brings AI directly into Microsoft 365 applications such as Word, Excel, PowerPoint, Outlook, and Teams. It also provides access to features like Copilot Studio, agents, and AI experiences grounded in your Microsoft 365 work data.

Agent building is also more flexible. Agents built in Copilot Chat can only use public web links as knowledge sources. With a paid license, you can build agents that use your files and SharePoint content, in addition to public web links.

Yes. Microsoft 365 Copilot can use the Microsoft 365 content you already have permission to access, including email, to provide more relevant responses

Data privacy

Microsoft 365 Copilot may be used with unregulated sensitive, internal, public, and FERPA data. All policies, standards, and regulations applicable to the data still apply. Unless determined otherwise, the output of the tool retains the sensitivity of the input data. Data is retained for 180 days on ASU's workspace.
